Write the visual intent for each zone in plain language before choosing fittings. Arrival may need adaptation from exterior daylight; a lounge may prioritise flattering vertical illumination; a circulation route needs clear thresholds; a bar or host point needs enough task light to work safely without becoming the brightest object in view.

Specify performance, not a catalogue image.
A complete luminaire schedule should identify source, power, output, distribution, colour appearance, colour consistency, colour rendering criteria, expected life, control type, driver location, ingress and impact needs where relevant, finish, accessories and certification. Photometric information should relate to the exact selected optic and output.
- Glare: assess normal approach and seated viewing angles, reflected glare in polished surfaces and bright sources within peripheral vision.
- Colour: coordinate colour temperature and spectral quality with carpet, timber, skin tones, artwork and any camera or security requirements.
- Flicker: consider dimmed performance, camera interaction and compatibility between driver and control protocol.
- Thermal management: preserve ventilation clearances and avoid locating drivers where heat or access will shorten service life.
- Finish durability: agree cleaning methods and corrosion resistance for coastal, wet, food-service or high-touch contexts.
Project compliance: the electrical engineer, lighting designer, certifier and relevant consultants should confirm applicable Australian standards, NCC requirements, emergency-lighting strategy and product approvals for the exact project and jurisdiction.
Controls turn design into operation.
Prepare a scene schedule with operations rather than leaving scene names to commissioning week. Define opening, daytime, dusk, evening, cleaning, maintenance, event and emergency conditions where relevant. Record each channel, target dimming level, fade time, user access and override behaviour.
Low-end dimming matters in subdued spaces. Require a sample installation to demonstrate smooth dimming, stable colour and no visible stepping or flicker at the intended minimum. Clarify whether decorative drivers, linear systems and architectural fittings share a protocol, and identify gateways or proprietary dependencies that may complicate later replacement.
Controls handover should include
- final addressing and channel schedule;
- as-commissioned scene levels and password/access details;
- software and backup files in an agreed open or accessible format;
- training for operations and facilities staff;
- a documented route for future reprogramming and replacement.
Resolve what sits above the ceiling.
Coordinate structure, suspension points, seismic restraint where required, access panels, sprinklers, smoke detection, speakers, cameras, signage, HVAC and ceiling modules. A feature pendant may require engineering, lifting plans and a maintenance platform. Linear details need tolerances for straightness, heat dissipation and uninterrupted diffuser access.
Use reflected ceiling plans, sections and coordinated ceiling elevations to show every visible device. Clearly assign supply, installation, wiring, control, programming, patching and making-good responsibilities. Imported decorative fittings may require local modification or certification; resolve this before procurement, not on arrival.
Mock up the difficult details.
Build representative sections using final ceiling depth, wall finish, joinery and control gear. Review beam quality, scalloping, shadows, glare, dimming, reflections and colour appearance with actual material samples. For custom luminaires, inspect fabrication finish, diffuser uniformity, seams, suspension, weight, access and replaceable components.
Document aiming angles and scene levels after commissioning. Photography is helpful, but written settings and marked drawings make reinstatement possible after maintenance.
Design for a safe lamp change—even with no lamps.
Integrated LED sources still require driver, board or whole-fitting replacement. Record access method, isolation point, component availability, expected replacement horizon and whether specialist equipment is needed. Group drivers in labelled, ventilated, accessible locations where this does not compromise performance.
A handover spares schedule should distinguish complete luminaires, light engines, drivers, optics, diffusers and custom finish parts. Agree storage conditions and batch strategy, especially where colour consistency across adjacent fittings is critical.
