A useful brief explains what the venue must enable, not simply how it should look. Record audience, jurisdiction, business objectives, operating hours, guest journeys, staff workflows, responsible-gambling obligations, security approach, service standards, food and beverage interfaces, cleaning windows, accessibility objectives, staging and budget.
Separate fixed requirements from preferences. Assign measurable success criteria such as clear route widths, acoustic targets, maintainable access, energy objectives, service response, closure limits and defect thresholds. List required approvals and identify the party responsible for interpreting regulatory requirements.

Build governance around interfaces.
Complex interiors involve operator, project manager, architect or interior designer, builder, building-services engineers, fire engineer, access consultant, acoustic consultant, lighting designer, security and surveillance specialists, gaming or operational advisers, kitchen and bar consultants, IT, signage, art, landscape, procurement and facilities teams. Map who designs, documents, approves, supplies, installs, tests and warrants each interface.
Use a design responsibility matrix, decision register, change process and single source of current documents. Establish who may approve samples and substitutions. A late aesthetic substitution can change fire evidence, power, structure, cleaning or lead time, so every proposed change should show technical and programme impact.

Map arrival, orientation, circulation, amenities, lounges, hospitality zones and exits from the perspective of guests with varied mobility, vision, hearing, cognition and familiarity. Integrate accessibility into spatial hierarchy, furniture, counters, signage, lighting and acoustics rather than treating it as a parallel compliance overlay.
Use obvious landmarks, differentiated material zones and consistent decision points. Avoid relying on carpet pattern or light level alone for wayfinding. Coordinate signage placement, readable contrast, pictograms, language needs and digital content. Review how reflections, moving light and dense visual stimuli affect orientation.
Responsible design should support breaks, access to daylight or time cues where practicable, calm non-gaming spaces, clearly visible help information and routes that do not force unnecessary exposure to gaming activity. These principles complement—not replace—operator and regulatory requirements.

Resolve junctions through enlarged details and coordinated mock-ups. Typical high-risk interfaces include carpet to access floor, joinery to services, feature lighting to structure, curtains to ceilings, artwork to fire systems and decorative screens to circulation and surveillance.
Design the construction sequence.
For live venues, stage boundaries must control dust, noise, odour, access, security, services interruptions and public separation. Agree work windows, temporary routes, isolations, testing, clean-down and release-to-operate criteria. Prototype temporary works where guest-facing routes are complex.
Maintain a procurement schedule covering information release, sample approval, shop drawings, prototypes, production slots, factory inspections, freight, customs where relevant, storage, site readiness, installation and commissioning. Protect long-lead items from design drift by recording an explicit freeze date and decision owner.
Mock up assemblies, not samples. A sample shows a colour. A mock-up proves the substrate, fixing, junction, tolerance, light, cleaning response and labour needed to reproduce the detail.
Quality-control records
- approved control samples and prototype sign-off;
- inspection and test plans with hold points;
- site benchmarks and first-of-type installation approval;
- non-conformance, substitution and defect registers;
- photographic record of concealed work and service access.
Handover for operations, not archive boxes.
Start the handover structure during design. Use a searchable asset register linked to location, supplier, model, finish, serial or batch, warranty and maintenance tasks. Provide final drawings, certificates, commissioning results, controls backups, cleaning procedures, spares, keys, tools, training records and defects contacts.
Deliver role-based training: housekeeping needs finish-specific cleaning; facilities needs access, isolation and replacement information; operations needs control scenes and movable-layout rules; security needs awareness of new sightlines and access points. Schedule a post-occupancy review after the venue has operated long enough to reveal wear, noise, queuing and maintenance patterns.
